Force a Refund Transaction

If you need to refund a transaction in Converge and cannot easily find the original sale transaction, you can force a refund by completing these steps:


1. In the Converge UI, click the Payments tab.


2. From the Payments page select Return from the New Payment drop-down.

On the Payments page, select Return from the New Payment drop-down menu on the right side of the screen under the terminal name and account id.


3. Converge will take you to the New Return page.


4. Fill in the Subtotal and Sales Tax fields for the New Return.

Converge will take you to the New Return page. Fill in the Subtotal and Sales Tax fields located in the middle of the page under the Search for a Product or Template field.


5. Select which type of payment card this refund will go to.


6. Select Enter on Keyboard.

Under the Order Section, select credit, debit or gift card as the payment type for the refund under step five in the screenshot. Under the Entry Type, select Enter on Keyboard under step six in the screenshot


7. Fill out this initial form by entering the required information to start the refund. Required fields are marked with a red asterisk. Click Start Transaction.

Complete the required Subtotal field in the middle of the page located under the Search for a Product or Template field. Click Start Transaction located at the bottom of the screen under Entry Type.


8. Converge will display additional fields to complete the return transaction.


9. On the Order section screen, enter the name of the customer into the Customer Search Bar to quickly locate the customer's payment information. Or, manually enter the customer's payment information to process the refund.

Enter the customer's name in the customer search bar located in the middle of the screen under the Order Section. Or, manually enter the required credit card number and expiration date located in the middle of the screen under I have a Token.


10. Scroll down to the Billing Address section.


11. If the billing address is not already included in the customer's profile (or if you entered the customer's information manually), you may enter the customer's billing information here.

Complete all fields in the billing address section.


12. When you are finished entering your customer's information, click Process to complete the transaction. If successful, the refund will be added to your current batch and will be processed according to your batch times. Your customer will be refunded in the next 3-5 business days, depending on their card company's funding timelines.

Click Process located at the bottom of the screen under Custom Fields.
